How to follow up leads on WhatsApp without losing them

In many markets, WhatsApp is where leads actually answer. A call goes unanswered; a message gets read. This guide covers how fast to reply, what Meta’s rules allow, how to remind people before appointments, and how to track it all.

Why does speed to first reply matter so much?

Because the lead is most reachable in the minutes after they ask. Their phone is in their hand, the problem is on their mind, and they may have contacted two or three other businesses at the same time. An hour later they are in a meeting, driving, or already talking to someone else.

Set a target you can hold: a first reply within five minutes during opening hours. Outside hours, send an automatic acknowledgement that says when a person will write back, and keep that promise. Then measure it. Time from form submission to first message, per salesperson, per week. If you only fix one number this quarter, fix this one.

Speed without substance does not help. The first message has to show you read the request: their name, what they asked about, and one clear next step.

WhatsApp Business app or WhatsApp Business Platform?

Meta offers two products. The choice decides what you can automate and whether replies can be tracked.

What do WhatsApp’s rules say about opt-in and templates?

The WhatsApp Business Messaging Policy is short and worth reading in full. Three rules matter most for lead follow-up.

First, opt-in. Before you message someone, you need their number and their permission to receive messages from you, and Meta’s developer documentation says the opt-in must make your business name clear. In practice, add an unticked checkbox to your form, such as “I agree to receive WhatsApp messages from the clinic about my request and appointments.” Meta also recommends separate opt-ins for different kinds of messages, so keep promotions apart from appointment messages. Check the data protection rules that apply where you operate as well, whether that is the GDPR or your local data-protection law.

Second, the 24-hour customer service window. Each time the person sends you a message, a 24-hour window opens, and inside it your team can reply freely. Outside that window, and to start a conversation, you can only send approved message templates. Templates are categorised as marketing, utility or authentication, and Meta reviews them and can pause or reject them.

Third, opt-out. You must respect every request to stop, whether it arrives on WhatsApp or anywhere else. Make stopping easy, and record it on the lead.

A follow-up sequence for new leads

This sequence assumes the lead filled in a form and opted in. Adapt the timings to your opening hours.

  1. Within five minutes: first message

Send an approved template that uses their name, confirms what they asked about and offers two appointment slots or one simple question. Keep it to three lines.

  2. When they reply: a person takes over

Their reply opens the 24-hour window. Answer questions, qualify, and book the slot in the same conversation.

  3. No reply after a few hours: call once

Some people prefer a call. If they do not pick up, send one more template message the next morning.

  4. After three to seven days: one last message

Send a final, polite template that leaves the door open. Then stop, and mark the lead as unresponsive in your CRM.

  5. Once booked: confirm and remind

Confirm straight away, remind the day before and again a few hours before, each time with a way to reschedule.

How do you write reminders people answer?

Short, specific and easy to act on. A good reminder fits on a lock screen: “Hello Samira, a reminder from the clinic: your consultation is tomorrow at 10:30. Reply 1 to confirm or 2 to choose another time.” Templates can also carry quick-reply buttons, which turn confirming into a single tap.

Write in the language the lead used. That may be French or Arabic, sometimes both in the same conversation; follow the person. Include the address or a map link in the confirmation, and what to bring if it matters.

Leave health details out. A message on a lock screen can be read by whoever is holding the phone, so say “your consultation” and leave the treatment unnamed. And make rescheduling easier than not turning up: a moved appointment still fills the chair.

How do you track WhatsApp replies on the lead record?

When follow-up happens on staff members’ own phones, three things break. Conversations leave with the employee. Nobody can see whether a lead was answered, or how fast. And the link between the ad that brought the lead and the booking it became is lost.

The fix is to run WhatsApp through a shared business number connected to your CRM, so each thread sits on the lead record next to its source, its stage and its notes. Our unified inbox does this for WhatsApp, Messenger, Instagram, SMS and email, and Napexy CRM assigns each new lead to the next salesperson automatically.

Then track a few numbers every week: time to first reply, the share of leads who reply at all, bookings made in WhatsApp conversations, and show rate after reminders. Our article on cost per booked call explains why those numbers matter more than the cost of the lead itself.

Frequently asked questions

Can I message a lead on WhatsApp if they only gave their number on a form?

Only if the form also collected their opt-in to receive WhatsApp messages from your business. Without it, call or email instead, and add the opt-in checkbox to your form for the next lead.

What is the 24-hour window on WhatsApp?

It is the period after a person’s last message during which a business can reply with free-form messages. It resets every time they write. Outside it, the business can only send approved message templates.

Are appointment reminders allowed on WhatsApp?

Yes, for people who opted in. Outside the 24-hour window they must be sent as approved templates. Keep reminders strictly about the appointment, since Meta checks each template’s category and promotional wording belongs in marketing templates.

Should salespeople follow up from their personal WhatsApp?

No. Conversations leave with them, nobody can measure response times, and personal and customer data get mixed on one phone. Use a business number connected to a shared inbox. Our lead handling service sets this up.

Do click-to-WhatsApp ads change any of this?

They change the start. When someone taps an ad and messages you, they wrote first, so the 24-hour window is already open and your team can reply freely. Speed still matters just as much. Our WhatsApp marketing page covers those campaigns.
