Calls

Call tracking for marketing campaigns

For clinics, home services and property sales, the phone is often where the lead actually happens. If calls are not tracked, your best campaign can look like your worst.

The calls your reports are missing

A visitor sees your Google ad, opens the site and taps the phone number. In many setups, nothing records that. Analytics sees a visit with no conversion. The ad looks like a failure. The receptionist writes the appointment in a paper diary, and the sale is never linked to anything.

Repeat that for a month and you may cut the campaign that was filling your calendar. Budget decisions get made on reports that leave out the phone entirely, and nobody notices until bookings drop.

How call tracking works

Dynamic number insertion

A script on your site shows each visitor a number tied to their source, campaign or keyword. When they call, the call is matched to the visit.

A number per channel

Fixed numbers for your Google Business Profile, print, a billboard or each radio spot, so offline channels get counted too.

Calls from Google Ads

Calls from call assets counted as conversions when they last long enough to be real, where Google’s forwarding numbers are available.

Taps and WhatsApp clicks

Taps on the phone number and the WhatsApp button tracked as events. Useful everywhere, and the main signal where tracking numbers are not available.

Call outcomes

Each call tagged as new lead, existing customer, spam or wrong number, and as booked or not booked.

When tracking numbers are hard to get

Tracking numbers depend on local telecom rules and on which providers operate in your country. In some countries, local numbers are easy to buy by the dozen. In others they are scarce, or only available without a local prefix, which some callers trust less.

Where that is the case, we combine what is available: a separate line for each major channel, tap and WhatsApp click events, and a “how did you hear about us?” question asked by whoever answers, recorded in the CRM. It is less precise. It is still far better than a blind spot.

How we set it up

  1. Choose the numbers

Which channels need their own number, and whether dynamic insertion is worth it for your traffic.

  2. Install and route

The numbers forward to your existing lines, so nothing changes for your team except the data.

  3. Connect to the CRM

Each call creates or updates the lead with its source, so calls sit in the same pipeline as forms and messages.

  4. Send conversions back

Qualified calls are sent back to Google Ads and Meta, so the campaigns learn from callers who booked. See analytics and attribution.

  5. Review the calls

Missed calls, after-hours calls and outcomes reviewed each week with the manager, as part of lead handling.

What you see

Calls by source

Per channel, campaign and, with dynamic numbers, keyword.

Missed calls

Especially during opening hours and at lunch. Each one is a lead you paid for and did not answer.

First-time callers

New leads, separated from existing customers, suppliers and spam.

Calls to appointments

The share of calls that ended in a booking, per person answering where your phone system tells us who that was.

Cost per booked call

Spend divided by booked appointments from calls, per paid campaign. Our cost per booked call calculator shows the method.

Frequently asked questions

Will changing our number on the site hurt local SEO?

Not when it is done properly. Dynamic numbers are swapped by a script for visitors only, and your main number stays in the page. On your Google Business Profile, Google allows a tracking number as the primary number if your main line is listed as an additional one. See local SEO.

Do you record calls?

Only if you want it and the law allows it, with the announcement callers must hear. Recordings help train setters and settle disagreements about what was said. Many businesses track calls without recording them.

Which call tracking tool do you use?

One that offers numbers in your country and connects to your CRM and ad accounts. Availability varies a lot from one country to another, so we choose after checking, and tell you when no good option exists.

Is call tracking worth it if most of our leads use forms?

Check first. Count the calls you receive in a normal week and ask callers where they found you. If calls are a small share of new leads, tap events may be enough. If they are a large share, you are judging your marketing on part of the data.
