Our approach
Our approach: how we run your marketing, step by step
Every engagement follows the same order: look before touching anything, test before spending, and decide each month what changes. Here is each stage, and who does what.
The six stages, in order
Audit
The list below shows what we look at. You get a written report: what is broken, what is missing, what is worth keeping.
Plan
A short document with priorities in order, an owner for each task on both sides, a timeline, and the numbers the work will be judged on, such as cost per booked appointment. You approve it before anything is built.
Build
Tracking, forms, landing pages and campaigns are set up. Then test leads go through every path, from the ad to the CRM, before any ad budget is spent.
Launch in stages
One channel or campaign goes live first. The next follows once the first is tracked properly and its cost per qualified lead has settled.
Monthly report and decision call
The report arrives before the call. The call ends with decisions, each with an owner and a date.
Quarterly review
Every three months we check the plan against where your business is heading.
What the audit covers
The audit follows the whole path, from the first search to the appointment, because the leak is often where nobody was looking.
- Your website: speed on a phone, the pages that sell, the forms, and what happens after they are sent
- Ad accounts: structure, conversion tracking, search terms, and spend that brings nothing back
- Google Business Profile and directory listings: accuracy, categories, reviews
- Lead handling: we send test enquiries, time the first reply, and check whether the source is recorded
- What ChatGPT, Gemini, Perplexity and Google’s AI Overviews say about you and your competitors
- Search Console and tracking: which pages are indexed, what is measured, what is counted twice
Who does what, on our side and yours
| Area | Napexy | Your team |
|---|---|---|
| Access | Asks for access to accounts held in your name | Grants access to ad accounts, the site, listings and analytics |
| Plan | Writes the plan, the timeline and the target numbers | Approves priorities, budget and what counts as a qualified lead |
| Content | Writes ads, pages, forms and follow-up messages | Checks prices, offers and any medical or legal claim |
| Build | Sets up tracking, forms, pages, campaigns and the CRM pipeline | Tests the forms on their own phones and confirms alerts arrive |
| Leads | Sets routing, alerts and reply templates, and answers leads when that is in scope | Answers and qualifies leads, and records each outcome in the CRM |
Why nothing goes live untested
A campaign that sends leads to a broken form loses money from its first hour. So does one that tracks clicks but no sources. Both are cheap to prevent.
Before launch we fill in each form, ring each tracked number and send a WhatsApp message. Then we check that the lead lands in the CRM with its source, that an alert reaches the right person, and that someone answers. Only then does the spend start.
Launching in stages follows the same logic. If two channels start together and leads drop, nobody can say which one is at fault.
The monthly report, the decision call and the quarterly review
The report is written for the person who signs the budget. It opens with the numbers agreed in the plan, then what we changed and what we recommend. Our page on how we report results lists every number and where it comes from.
The call is for decisions: raise a budget, pause a campaign, rewrite a page, change who answers leads in the evening. Each decision gets an owner and a date, and the next report opens by saying whether it was done.
The quarterly review asks bigger questions. Does the plan still fit, with a new branch, a new service or a slow season coming? Which channels earn their budget? What should stop?
Frequently asked questions
How long does the audit take?
It depends on how many channels, locations and languages you have. The delivery date is in the quote, and the audit comes as a written document that you keep.
What do you need from us to start?
Access to your ad accounts, website, analytics and listings, one person who can make decisions, your prices and offers, and a description of a good customer. If a team answers your leads, we also need to talk to them.
Can priorities change during the month?
Yes. Urgent changes, such as a new offer or a closed branch, are handled as they come. The plan’s priorities change at the monthly decision call, with the reason written down.
Can you answer our leads for us?
When it is in scope, yes: our setters answer and qualify leads and book appointments in your calendar. Otherwise your team answers, following the lead handling process we set up.
