CRM setup and integration services

A CRM fails for one of two reasons: the leads never get into it, or what goes in is useless. We set it up so leads arrive on their own, with their source, and sales has a reason to keep it current.

Why CRMs end up as expensive address books

The story is familiar. A company buys a well-known CRM, imports a spreadsheet and asks the sales team to log their calls. Six months later, half the leads are still in WhatsApp, the stages mean different things to different people, and the manager exports everything to Excel to see what is going on.

The software was rarely the problem. The setup was. Stages were copied from a template, nothing arrived on its own, and nobody gained anything by keeping records current.

We start from how you sell and work back to the CRM, so that using it is the easiest way for each salesperson to get through the day.

Napexy CRM or the CRM you already have

Napexy CRM

If you have no CRM, or one nobody uses, we set up Napexy CRM: every lead in one pipeline with stages and deals, automatic assignment to the next salesperson and a lead score built from the qualification answers.

Fed by our forms and inbox

Leads from our booking forms land in it with their source, and the unified inbox keeps WhatsApp, Messenger, Instagram, SMS and email threads on each lead.

Your existing CRM

If your team already works in HubSpot, Pipedrive, Zoho, Salesforce or another CRM, we work inside it. Switching tools has a cost, and we suggest it only when the current one cannot do the job.

Mixed setups

You can keep your CRM for sales and use Napexy tools alongside it. Which tools connect, and how, is listed on the integrations page.

How a CRM setup runs

  1. Map how you sell

From first contact to payment: who does what, where leads come from today, and where they get lost.

  2. Define the stages

Each stage gets a one-line definition and an exit rule. “Qualified” might mean budget and need confirmed by phone, and nothing less.

  3. Connect every source

Website forms, landing pages, ad lead forms, calls, WhatsApp and other messaging, so each lead arrives with its source and campaign.

  4. Set assignment and tasks

Who gets which lead, how fast they must act, and what the next step is. Every new lead gets a first task.

  5. Import and clean

Existing contacts and deals are imported, duplicates merged, and junk left behind.

  6. Train and review

Short sessions for each role, then a weekly review in the first month to fix whatever does not fit how people work.

What a finished setup includes

  • Pipeline stages with written definitions
  • Required fields limited to what sales actually needs
  • Lead source, campaign and ad captured automatically
  • Automatic assignment and a first task on every new lead
  • Lost reasons as a fixed list, so they can be counted
  • Deal values recorded at the stage they become known
  • User roles and permissions
  • A manager view of the pipeline and the week’s activity
  • Documentation your team can read

Frequently asked questions

Should we switch to Napexy CRM?

Only if it fits better. If your team uses HubSpot or Pipedrive well, keep it and we will work inside it. Napexy CRM makes most sense when you have no CRM, or when your leads come through our forms and WhatsApp and you want them in one pipeline with their source.

Can you migrate our data?

Yes. Contacts, companies, deals and notes can usually be moved from a spreadsheet or another CRM. We clean before importing, because moving duplicates into a new tool just gives you new duplicates.

Do you work with HubSpot, Salesforce, Zoho and Pipedrive?

Yes, we set up and work inside them, along with other common CRMs. We recommend keeping licences in your company’s name, so the account and the data stay yours whoever manages them.

How long does a CRM setup take?

It depends on the number of teams, lead sources and how much data needs cleaning. One sales team with a few sources is a matter of weeks. Several teams, countries or a messy migration take longer. You get a plan with dates after the first workshop.

Will our team need training?

Yes, and short is better. We train each role on the few screens they use every day, in French, Arabic or English, and the weekly reviews in the first month catch whatever the training missed. Once the CRM is in place, lead handling and revenue operations build on it.
